The 3 Types of DOT Audits

New Entrant Safety Audit

Conducted within the first 18 months of receiving your operating authority. Every new carrier gets one. The auditor reviews your safety management systems, records, and procedures. Failing results in a "conditional" safety rating and potential operational restrictions.

Compliance Review

Triggered by complaints, high CSA scores, or crash involvement. More thorough than a new entrant audit. Can result in fines, conditional or unsatisfactory safety ratings, and even an out-of-service order if serious violations are found.

Focused Review

Targets specific compliance areas where FMCSA has concerns — such as HOS violations, drug testing, or maintenance. Narrower scope than a full compliance review, but the consequences for the targeted area are the same.

How to Prepare (5-Step Plan)

Organize your files (30 days before)

Gather all documents — both digital and paper. Create folders for each category: driver files, vehicle records, HOS data, drug testing, and insurance. Make sure nothing is missing. If a document is expired, start the renewal process now.

Self-audit using the checklist above

Go through every checkbox. Be honest. Mark what you have and what you're missing. For a more detailed self-audit, use our DOT Compliance Self-Audit tool.

Fix any gaps found

Missing a medical card? Get the driver to a certified examiner. No random testing records? Call your consortium. No annual inspection? Schedule one immediately. Most gaps can be fixed in 1-2 weeks if you act quickly.

Know your rights during the audit

You have the right to have an attorney or representative present. The auditor should identify themselves and explain the scope. You can ask questions. You do not have to sign anything on the spot — ask for time to review.

Document everything

Keep a record of what the auditor reviewed, what they asked for, and any concerns they raised. This helps if you need to respond to findings or dispute results later.
